Responsibilities:
Reporting to the Associate Director for Faculty Affairs and Human Resources Administration in the College of Social Sciences and Humanities Office of the Dean, the Human Resources Associate serves as lead administrator on several key processes and is responsible for coordinating, preparing, and tracking human resources transactions for staff and faculty in the college. The HR Associate works closely with and cross-trains with a second HR Associate. This individual must be a relationship-builder, working with central HR and a portfolio of assigned units.
The HR Associate is the lead on a portfolio of HR activities for specific units within the college, including part-time faculty hiring, visiting scholar and student appointments, temporary nonstudent hiring, payments for off-contract teaching, time tracking and I-9 compliance. In collaboration with the Associate Director, the HR Associate may initiate HR transactions for full-time faculty and track personnel information including tenure eligibility, sabbatical eligibility, leaves, etc.
The HR Associate manages HR and faculty affairs transactions including, but not limited to the following: job requisitions and hiring paperwork, including appointment letters for new faculty and staff; grant-funded hiring and renewals, staff appointments, visiting appointments (paid and unpaid), and temporary non-student appointments; timely renewal of grant-funded appointments; training new departmental staff on HR processes; personnel transactions such as terminations and job changes; and part-time faculty hiring, onboarding, and payment. The HR Associate works closely with the Associate Director on all of these transactions and other faculty and staff needs. The HR Associate also works with new hires to complete the online I-9 process; tracks part-time faculty expenditures and extra compensation payments for teaching; and prepares timely reports.
Other responsibilities include auditing payroll, staying abreast of the latest Human Resources and University policies and procedures, cross-training as back up for the Associate Director and the HR Associate. They also assist the Associate Director, the Associate Dean of Administration and Finance, and the Associate Dean of Academic Affairs, Diversity, and Inclusion with annual performance management and merit process and other personnel tasks as necessary, including maintaining the college’s personnel files and databases.
Qualifications:
Bachelor’s degree and at least four years of administrative experience, with preference for experience in human resources and higher education, are required. Excellent software skills, including Word and Excel, and database experience are required. Excellent interpersonal and communication skills are required as well as an attention to detail. This person must be able to work independently, to use tact and good judgment, to maintain confidentiality, and to prioritize and adhere to deadlines. Experience with Workday and the ability to quickly learn university systems are a plus.
